what we do

Community Event Production

Executive Production Leadership

Community events are visible commitments. The organization’s name is on the event, the elected officials are on the stage, and the community is watching. We manage the production layer with the precision that kind of visibility requires.

Conceptualization & Planning

We work with your team from the earliest planning stages, helping define the event concept, scope, and timeline before any resources are committed.

Vendor Management

Entertainment, food and beverage, tenting, staging, signage, and all specialty vendors are sourced, contracted, and coordinated by us so your team has one point of contact for every production element.

Permits & Approvals

Community events require layered approvals from parks, streets, health, fire, and public safety departments. We manage the full permitting sequence and maintain the relationships that keep approvals moving.

Public Safety Coordination

We coordinate security, medical, and crowd management for events of all sizes, building the public safety plan around what the specific event and venue actually require.

Design & Communications

A community event only succeeds if the community shows up. We support the marketing and communications that drive attendance and keep your organization’s relationship with residents strong before, during, and after the event.

Website Development & Registration

We build and manage event websites that serve as the public-facing hub for everything residents need: event details, schedules, maps, parking information, and sponsor recognition.

Graphic Design & Social Media

Our team can easily create brand compliant, public-facing graphics, signage, social media templates and more.

Participant Communications

We manage attendee and stakeholder communications throughout the planning cycle, from public announcements through day-of updates, so your community is informed and your team isn’t managing every inquiry.

Post-Event Surveys & Feedback

Post-event surveys give you resident feedback and stakeholder data. We compile the results into a format useful for city reporting, board presentations, and future planning cycles.

Who We Help

Community events are by far some of our favorite formats, as nothing brings good energy and community connections to life better! If you need assistance developing your next community event concept, we’re here to provide a helping hand.

Non-Profits

Nonprofits producing annual signature community events need production infrastructure that matches the scale of their mission. We handle the logistics so your team can focus on the community you’re serving.

Municipalities

Cities and municipalities are the most common host of large community events, and the permitting, safety, and vendor coordination requirements are significant. We know how to work within municipal processes because we’ve done it repeatedly.

Brands

Brand-sponsored community events require production quality that reflects the sponsoring organization’s standards. We deliver the operational infrastructure and on-site execution to match.

Companies

Companies producing community events as part of a CSR or brand activation strategy need partners who understand both the community dimension and the production requirements. We work well in that space.

Agencies

We’ve served as the production partner on agency-managed community events, handling all logistics and permitting while the agency manages the creative and client relationship.

Produce your next Gathering with ESW

Community events involve more stakeholders and more approval layers than most event types. We’ve been producing in that environment since 2012 and have the relationships that make complex approvals move.

FAQ

What kind of public events do you manage?

We produce community events across a wide range of formats: festivals, parades, civic celebrations, holiday programming, outdoor concerts, and public gatherings of all sizes. If it’s happening in a public space and the community is the audience, we’ve likely produced something like it.

Yes. Community events require approvals from parks departments, streets, fire marshals, health departments, and public safety agencies, often on different timelines. We manage the full permitting sequence and maintain the city relationships that keep approvals moving.

Every event is scoped individually based on size, site complexity, vendor requirements, and staffing needs. We provide custom quotes after an initial consultation.

Turn-key scope includes conceptualization and planning, permitting, vendor sourcing and management, site design and CAD mapping, public safety coordination, entertainment and talent logistics, day-of execution, and post-event recap reporting.

For large community events, 9 to 12 months is our standard recommendation. Permitting sequences, venue holds, and vendor availability for major production elements all require lead time that shorter timelines don’t allow for.

We handle event-facing communications: website content, attendee logistics, and post-event surveys. Broader public marketing and community outreach stays with your team, though we coordinate closely with whoever is managing it.

Our primary offices are in Dallas, with teams operating across Texas and Colorado. We produce events nationwide and have managed community events across the country.
